When responding to an RFP or following up about a particular venue space, you want prospects to see exactly what they need without navigating through your entire property. The Visiting Media platform lets you share direct links that land clients exactly where you want them to start.
Understanding Your Sharing Options
The Share menu offers two ways to control where prospects begin their experience. This workflow is from TrueTour or custom tour public viewer:
Current Page creates a direct link to the exact space or asset you're viewing. Prospects open the link and immediately see that specific ballroom, meeting room, or amenity—no navigation required.
From the Beginning shares your full tour experience, starting from the first asset or space in the sequence. Use this when you want prospects to explore the complete property experience you've built.
How to Share a Link to a Specific Space
For Custom Tours (Plus and Pro)
- Open the tour from your Catalog
- Navigate to the specific space you want to feature
- Select the Share icon in the bottom right
- Choose Single Asset from the sharing options
- Copy the link or send via your preferred method (email, SMS, QR code)
When prospects open this link, they land directly on that space and can navigate to other areas if they choose.
For Single Assets (All Tiers)
- Open your Asset Library
- Select the specific photo, video, or floor plan
- Click the Share icon
- Choose Current Page for a direct link to just that asset
- Copy or send the link
This works particularly well for quick responses when planners request specific content like "photos of your largest ballroom." If you share an asset from the asset library, there’s tracking available for Core, Plus, and Pro customers.
When to Use Each Option
Use Current Page when:
- Responding to specific RFP requirements about particular spaces and you still want the customer to have the entire TrueTour or custom tour.
- Following up after site visits to highlight rooms of interest
- Directing planners to recently renovated spaces
- Answering capacity or layout questions for specific venues
Use From the Beginning when:
- Introducing new prospects to your property
- Sharing carefully sequenced tours that tell a complete story
- Working with planners who want to explore multiple options
The Share icon appears consistently across the platform —in tour navigation bars, the Asset Library, the TrueTour Public Viewer, and your Catalog—so the process works the same way regardless of what you're sharing.
Making It Work for Your Sales Process
Build sharing into your workflow by generating specific space links before client calls. Add these links to follow-up emails with context about each space—prospects get targeted, relevant content instead of hunting through options.
You can reuse the same Current Page link across multiple conversations. Links stay valid and always point to the specific space, automatically reflecting any content updates you make.
What Prospects Experience
Current Page links deliver a professional, mobile-optimized view of the exact space you've shared, including high-resolution images or video, navigation options to explore connected spaces, your property branding and contact information, and a streamlined interface that works on any device.
Common Questions
Do these links expire?
No, Current Page links remain active as long as the tour or asset exists in your account.
Can I track who views these links?
Yes, Plus and Pro tiers include analytics showing engagement data for shared assets, and Pro also gets tour sharing engagement data, including which spaces prospects viewed and how long they spent in each area.
What if I update the asset or space?
The link automatically reflects the current version—you don't need to regenerate or resend links when you refresh content.
