Manage Your Asset Library
Your Asset Library keeps all property photos, videos, 360s, 3D Models, and links organized in one place, so you can find what you need and build tours quickly. Whether you're searching for a specific ballroom photo or organizing content for an upcoming event, the Asset Library gives you the tools to work efficiently.
Access Your Asset Library
- Select Asset Library from the left navigation menu
- You'll see all your property's assets organized into collections
The Asset Library displays all content available for your property. Users can view and share individual assets from the asset library, while Property Admins can upload, edit, and organize the full library.
Browse and Filter Your Assets
View your collections
View your collections At the top of the Asset Library, you'll see collection tabs that organize your assets by category. These collections are customized for your property, so the tabs you see may differ from other properties.
You'll always see:
- All: Every asset in your library
Your property may also have collections like:
- Public Spaces, Meetings & Events, Rooms & Suites, Bars & Restaurants, and other categories specific to your venue
Select any collection tab to see only the assets in that category. Property Admins can create and customize collections to match your property's needs.
Filter your assets
Use the filter options to narrow down exactly what you're looking for:
- Select Type to filter by asset format:
- 360° Photos
- 3D Models
- Videos
- Photos
- PDFs
- Select Tags to filter by specific features or spaces:
- Search for a tag using the search bar
- Or select one or more tags from the list below
- Each tag shows how many assets are associated with it
- Select User to see assets uploaded by a specific team member:
- Choose from the list of users
- Each user shows how many assets they've uploaded
After selecting your filters, click View to apply them. To remove all filters, click Clear all.
Search for specific assets
- Use the search bar at the top of the Asset Library
- Type keywords related to the asset you're looking for (e.g., "ballroom," "suite," "lobby")
- Results update automatically as you type
Change how assets display
On the right side of the page, you can:
- Sort by: Choose how assets are ordered (Created newest, Created oldest, Modified, etc.)
- View style: Toggle between list view (detailed information) or grid view (visual thumbnails)
Upload Assets (Property Admins Only)
Property Admins can add new content to the Asset Library to keep it current and comprehensive.
To upload files:
- Select the + New button in the Asset Library and choose Add Asset
- Select Upload files in the Upload Modal
- Select the files you want to upload from your computer
- Choose which collection the assets should be added to
- Add relevant tags to help organize the content
- Click Upload
You can upload multiple files at once. Supported file types include images (JPG, PNG, etc.), documents (PDF), and audio.
To add links:
- Select the + New button in the Asset Library and choose Add Asset
- Select Add links in the Upload Modal
- Paste the URL you want to add
- Give the link a descriptive title
- Choose which collection it belongs to
- Add relevant tags
- Click Save
Links can include external virtual tours, 360 photos, videos hosted on platforms like Vimeo or YouTube, or any other web-based content that helps showcase your property.
Review and Organize Uploaded Assets
After uploading assets, you'll see an upload confirmation at the bottom right of your screen showing your successful uploads.
Access the Asset Manager
Click Next: Review Assets to open the Asset Manager and add details to your newly uploaded assets.
Single asset upload: The Asset Manager opens with that asset's details, where you can add a title, tags, description, and assign collections.
Multiple asset upload: The Asset Manager shows a carousel at the top with all uploaded assets. You can:
- Click through each asset individually to add details
- Select multiple assets using Select all to make bulk changes (like adding the same tags or collections to several assets at once)
- Navigate between assets using the arrow buttons
Create and Manage Collections (Property Admins Only)
Collections help you organize assets into logical groups that make sense for how your team works.
To create a new collection:
- Select the More dropdown in the collection tabs
- Choose Create Collection
- Name your collection
- Add a description (optional)
- Click Create
Your new collection will appear in the collection tabs at the top of the Asset Library.
To add assets to a collection:
- Select the checkbox next to one or more assets
- Choose Add to Collection from the actions menu
- Select the collection you want to add them to
- Click Add
To move assets between collections:
- Select the checkbox next to the assets you want to move
- Choose Move to Collection from the actions menu
- Select the destination collection
- Click Move
Organize with Tags (Property Admins Only)
Tags make it easy to find assets by specific features, spaces, or characteristics.
To add tags to assets:
- Select the checkbox next to one or more assets
- Choose Edit Tags from the actions menu
- Type to search for existing tags or create new ones
- Select the tags you want to apply
- Click Save
To edit tags on a single asset:
- Click the three-dot menu in the Actions column for that asset
- Select Edit
- Update the tags in the asset details
- Click Save
Use consistent tag names across your library so your team can find content quickly. Common tags might include room types (King Suite, Meeting Room), features (Ocean View, AV Equipment), or event types (Wedding, Conference).
Share Individual Assets
You can share single assets directly with prospects or colleagues without creating a full tour.
To share an asset:
- Locate the asset you want to share
- Click the three-dot menu in the Actions column
- Select Share
- Choose how you want to share:
- Copy the link to paste into an email or message
- Copy the embed or popup script code to distribute on your property website or 3rd party channels
- Click Send or Copy Link
Single asset sharing is ideal for targeted distribution on your channels
Understanding Asset Permissions
As a User:
- You can view all assets in the library
- You can filter, search, and browse collections
- You can share individual assets
- You cannot upload, edit, or delete assets
As a Property Admin:
- You can do everything Users can do
- You can upload new files and links
- You can create and manage collections
- You can edit asset details and tags
- You can organize and move assets between collections
- You can delete assets that are no longer needed
If you need to upload or edit assets but don't have the option, contact your property administrator to request Property Admin access.
