Share the right content in under 2 minutes
Use this quick checklist anytime you need to send a photo, video, or tour link to a planner.
Step 1: Start with Search
☐ Log into the Visiting Media platform
☐ Go to Asset Library
☐ Use search (room name, ballroom, meeting space, amenity)
☐ Apply filters if needed (space type, event type, category)
Tip: Don’t scroll endlessly. Search first. It’s faster.
Step 2: Preview Before You Share
☐ Open the asset preview
☐ Confirm it’s the correct space / angle
☐ Double-check branding and accuracy
Ask yourself:
Does this asset directly support the planner’s request?
Less is more. Send what’s relevant.
Step 3: Share with Purpose
☐ Click Share
☐ Copy link or send via email
☐ Add 1–2 lines of context in your email
Example:
“Here’s a closer look at our Grand Ballroom set for 250 guests. Let me know if you'd like a version with classroom layout.”
Context increases engagement.
Step 4: Confirm It Landed
☐ Ensure the link works before sending
☐ Follow up within 24–48 hours
☐ (Plus/Pro) Check Analytics before your call
Before your follow-up:
- Which assets did they view?
- How long did they spend?
Lead with insight, not guesswork.
When to Share a Single Asset
Use single asset sharing when:
✔ The planner asked about one specific space
✔ You’re answering a quick clarification
✔ You want to avoid overwhelming them
✔ You’re following up with one additional detail
If you’re responding to an RFP or multiple spaces are involved → use Builder instead.
Speed Rule
If it takes more than 2 minutes to find and share an asset:
- Use search differently
- Apply filters
- Ask CX for help
