Create and send a personalized tour
Use this checklist when building a tour for an RFP, site inspection, proposal, or follow-up.
The goal isn’t perfection. The goal is relevance + speed.
Step 1: Choose the Right Workflow

Step 2: Select Only What Matters

☐ Add 4–8 assets that directly support this opportunity
☐ Avoid “just in case” content
Ask yourself:
- Does this asset answer something specific they asked?
- Does this strengthen my positioning?
Focused tours perform better than overloaded ones.
Step 3: Customize (Don’t Overthink It)
☐ Reorder assets if needed
☐ Rename sections for clarity
☐ Add a short intro message
☐ Remove anything unnecessary

Step 4: Review Before Sending
☐ Click Preview
☐ Confirm flow makes sense
This is exactly what your planner will see.
Step 5: Complete the Most Important Step — Share
☐ Click Share
☐ Send via email or copy link
☐ Add a short contextual message
Example:
“Here’s a custom walkthrough tailored to your 200-guest gala. I highlighted our ballroom and pre-function space for your review.”
If you don’t click Share, the tour doesn’t move the deal forward.
After You Share
☐ Follow up within 24–48 hours
☐ (Plus/Pro) Review engagement before your call
