What You Can Accomplish
When you integrate virtual tours into your TripleSeat proposals and email templates, you can:
- Stand out from competitors with interactive 3D models and 360° photos that showcase your venue's unique features
- Speed up decision-making by giving planners a clear, detailed look at your spaces without requiring multiple site visits
- Save your team time by reducing follow-up questions about layouts, capacity, and room configurations
- Increase engagement with visually rich content that keeps planners exploring your proposal longer
Before You Begin
What you'll need:
- Your virtual tour assets (3D models, 360° photos, or CGI setups)
- Access to your TripleSeat account settings
Recommended content types:
- Enhanced 3D models – Let planners walk through your meeting spaces interactively
- 360° photos – Provide highly realistic, detailed views of your rooms
- CGI setups – Show various event configurations without physically staging each setup
Create Your Virtual Tour
For Pro Users
- Navigate to your Builder and create a new custom tour
- Select assets that match the spaces in your proposal:
- Meeting and event spaces
- Guest accommodations
- Special event setup configurations
- Arrange your assets to highlight key selling points or tell a compelling story
- Name your tour using this format: Distribution - TripleSeat - [Proposal Name]
- Click the Settings icon next to your tour title and configure these settings:
- Menus: Hidden
- Property Info Card: Enabled
- Digital Business Card: Enabled
For Plus Users
- Navigate to your Asset Library
- Choose your most comprehensive asset—typically your best 3D model of the featured meeting space
- This single asset will serve as your virtual tour link
Copy Your Tour Link
For custom tours (Pro):
- Click the Share icon on your tour
- Click Copy to copy the link to your clipboard
For single assets (Plus):
- Open the asset in your Asset Library and copy the link.
Add Your Tour to TripleSeat Email Templates
Create a Group-Wide Template
Use this method when you want all team members to access the same template.
- Go to Settings → Discussion Email Templates
- Select the appropriate section (Lead, Booking, or General Event Templates)
- Click Add Template
- Name your template and select which locations can use it
- (Optional) Enable these options if desired:
- "Include this email in Guest(s)' response"
- "Allow Email Signature"
- Customize your subject line and email body:
- Paste your virtual tour link with clear call-to-action text
- Example: "Click here to take a virtual tour of our [Room Name]"
- Use Merge Fields to personalize (guest name, event date, etc.)
- Click Save
Your template is now available to your entire team at the selected email stage.
Create a Personal Template
Use this method to create templates for your own use.
- Go to My Profile (click your name at the top or in the sidebar)
- Click Email Templates
- Select the appropriate section and click Add Template
- Customize your subject line and email body:
- Add your tour link with compelling call-to-action text
- Use Merge Fields to personalize your message
- (Optional) Enable:
- "Include this email in Guest(s)' response"
- "Allow Email Signature"
- Click Save
This template is now available to you at the chosen email stage.

Best Practices for Maximum Impact
Placement recommendations:
- Use pop-up modals whenever possible to keep users on your website and provide a faster experience
- Avoid opening tours in new tabs or embedding directly on the page, as these methods can slow load times
- Use consistent call-to-action language like "Take a Virtual Tour" so planners know what to expect
Content selection tips:
- Choose assets that directly relate to the spaces mentioned in your proposal
- Arrange assets in a logical flow that matches how planners will experience your venue
- For Pro users, lock your tours after creation to prevent accidental modifications
Writing effective CTAs:
- Be specific: "Explore our Grand Ballroom in 3D" works better than "Click here"
- Highlight value: "See all setup configurations" or "Walk through your event space"
- Create urgency when appropriate: "Preview your event space today"
